Enhanced Multi-Word Search in Rome

SearchMulti-Word search has been enhanced to search through both item description fields.  Previously the Multi-Word search would look through the 50 characters allowed in the Item Description field, but with the enhancement in the Rome release, BCR has effectively doubled the search capacity.

The Multi-Word search allows users to type search terms into the item search box and then returns all items that match the search criteria provided.  Lets say you wanted to search for all 18 volt drills in your inventory.  You could type “18V DRILL” into the search box and Multi-Word search will look for any items that have 18V and DRILL in their description fields.

Look for this functionality in the Rome release at the end of August.

Batch Invoicing in Rome

Batch Invoicing ScreenWhen the Rome release comes out later this month, there will be a rather significant enhancement in the form of a batch invoicing screen.  This screen will allow users to  invoice as many orders as they choose in batch form.  The idea here is to speed up end of day processing for our users who do not auto-invoice during the order entry flow of things.

Rather than invoicing orders individually, these users will have a command screen where they will be able to select as many or as few Orders as they choose to be invoiced.  The screen contains Hold All and Release All buttons to make changes to the entirety of the list. Keeping a common look and theme, RED records are on hold while BLACK records will be invoiced.

Be on the lookout for this feature and the rest of the Rome release late August.

Document Display Allows Quick Detail Viewing

If you need to view a document in Order Entry but can’t, select the document on the Edit tab and press the “D” key.  This feature will provide you with Header, Detail, Shipping/Payment and Note data for the document.  This will be very useful when someone else is in the document, end-of-day has not been processed or the customer is on credit hold.  The data is in non-editable and in view only mode except for the Internal Notes on the Notes tab.

Specific Date Terms Added

It is now possible to define a specific date for customer terms, regardless of how many days in the future the date may be.  The terms code can be configured in “Edit Customer Terms” located on the File menu in Administration.   The code can be assigned as a customer default, or selected on the Header tab of a specfic document.  The due date will not change based on the invoice creation date and will flow from Order Entry to Accounts Receivable.

BCR Software Supports Multiple X-Charge Accounts

In a major enhancement in credit card processing, BCR Software supports multiple X-Charge Accounts.  This will allow the credit card charge to post against different bank and GL accounts based on office location and payment method.   Businesses with multiple locations can process credit card transactions for each individual location and track credit card sales specific to each office location.

Shipment Tracking Available in Knoxville Release

Another useful feature added in the Knoxville release is shipment tracking.  This will allow the user to monitor shipment status and increase customer service capabilities.  With a simple double click on the shipping details line on the Shipping/Payment tab in Order Entry the user will be redirected to either the UPS or FedEx website where he or she will be provided with tracking information for that package.  The shipping method must begin with “UPS” for UPS shipments or “FDX” in order for this feature to work.

F1 => Help

F2 => Item Lookup

F3 => Insert Line above current line

F4 => Vendor Catalog Lookup

F5 => Item Lookup

F6 => Print document

F7 => Item Lookup by Alt Code (This lookup filters by the characters

entered as you enter or backspace each character)

F8 => a) If cursor is in Item Number Field: Item Lookup by Eqv Code (This lookup filters by the characters

entered as you enter or backspace each character)

b) If cursor is NOT in Item Number Field: The cursor is moved to the Order Line Description field below.

c) If the cursor is in the Order Line Description field below it is moved to the detail item line.

F9 => Toggle line printing on/off (if user is allowed)

F10=> Pops up a list of Internet URLs that the user can choose from or

enter one like you would in any internet browser. The list

comes from the URL for the vendor of the item that has focus

PLUS any URLs (starting with WWW.) listed in the Item Pictures

grid for the item.

F11=> Opens a cash drawer

F12=> Pops up list of items the customer typically buys. This list

can be filtered to only those bought for a specific ship-to if

the customer is setup this way.

Drop Ship Sales Orders, Part 1

If you need to ship an item to a customer directly from the manufacturer, creating a drop ship sales order is the way to go, and they’re easy to do!

When creating a Sales Order in the Order Entry Module, you can click on the “DS” field on the order line. (if allowed by your user settings)

When you are finished entering line items on the sales order, you can either create a new P.O. or Add to a P.O that already exists for this particular sales order by clicking Add/Update PO.

After following these steps, you should have a purchase order in IP (Inventory/Purchasing) with the items from the sales order that were selected for drop ship.  This P.O. should have the same shipto as the header tab on the sales order. 

Now we just need to post and receive the P.O.!  Once you receive and post the reciept (and auto-updating quantities for back-ordered items), BMA will automatically allocate the received inventory to the drop ship sales order.

When you’re ready to bill the customer, just invoice the completed sales order, and that’s it!!
